Syarah is a leading digital automotive platform transforming the car-buying experience in Saudi Arabia. We are building an end-to-end digital journey that brings together vehicle sourcing, inspection, merchandising, financing, insurance, and delivery. As we continue to grow, we are looking for a highly organized, proactive, and discreet Executive Assistant to join our team in Riyadh and support the smooth and efficient operation of the Executive Office. About the Role The Executive Asssitant will be responsible for ensuring the effective day-to-day coordination of the Executive Office and supporting senior leadership with scheduling, communication, follow-ups, documentation, and business coordination. This role requires exceptional organization, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be someone who takes ownership, anticipates needs, follows through on commitments, and can effectively coordinate with senior stakeholders across the organization. Key Responsibilities Manage the day-to-day activities and administrative operations of the Executive Office. Manage and coordinate calendars, meetings, appointments, and business engagements. Coordinate meetings with internal and external stakeholders and ensure all required arrangements are in place. Prepare meeting agendas, presentations, reports, documents, and other materials as required. Maintain close follow-up on action items, decisions, and commitments to ensure timely execution. Coordinate with department heads and senior stakeholders to ensure alignment and effective communication. Serve as a central coordination point between the Executive Office and internal and external stakeholders. Handle sensitive and confidential information with the highest level of discretion. Organize business travel, meetings, visits, and related logistics when required. Track important deadlines, deliverables, and follow-ups and proactively flag pending or urgent matters. Support the planning and execution of executive meetings, events, and business activities. Maintain accurate and well-organized records, documents, and executive-office information. Support special projects and cross-functional initiatives as assigned. Identify opportunities to improve administrative processes and increase the efficiency of the Executive Office. Handle ad hoc requests and priorities with a high level of professionalism and responsiveness. Requirements Fluent English is mandatory , both written and spoken. 3+ years of experience in office management, executive support, business administration, coordination, or a related field. Previous experience supporting C-level executives or senior leadership is highly preferred. Strong organizational and time-management skills. Excellent follow-up and coordination skills. Strong communication and interpersonal skills. High level of professionalism, discretion, and confidentiality. Ability to manage multiple priorities and work effectively under pressure. Strong attention to detail and problem-solving skills. Proficiency in Microsoft Office and/or Google Workspace . Ability to work independently, take ownership, and proactively identify what needs to be done. Experience in a fast-paced, high-growth environment is preferred.
