What a data analyst hiring team looks for in a letter

A decision your analysis changed

Data analyst hiring managers read for impact on decisions. The strongest letters describe one analysis from question to outcome: who asked, what they needed to decide, the data you used, what you found and what changed. “Built dashboards” says little; “the operations team changed its staffing rota after my analysis of arrival times” says a lot. If you cannot share numbers, describe the decision.

Tools named with what you did in them

Postings for this role usually mention SQL, Excel, Python and a visualisation tool such as Tableau, Power BI or Looker. Readers want to know depth, not just names. Say what you did: wrote queries joining several tables, cleaned and reconciled a messy source, automated a weekly report, built a dashboard people used every day. Match the tools to the posting only where you genuinely used them.

Data quality and honesty

Experienced managers value analysts who check their data and say what it cannot show. A short example of finding a data problem, correcting a misleading metric or telling a stakeholder the answer was “we cannot tell from this data” is persuasive, because it shows you can be trusted.

Communicating to non-analysts

Analysis only matters if people understand it. Describe how you presented a finding: a one-page summary, a chart that replaced a table, a recommendation with its caveats. Mention your audience, for example a sales lead, a product manager or an operations director.

Business context

Analysts in marketing, product, finance, operations and healthcare work with different data and questions. Name the domain you know and the metrics you worked with, such as conversion, churn, utilisation or claims, so the reader can see where you fit. If you have moved between domains, say which questions you learned to answer quickly in each, because hiring managers know that learning a new data model and its quirks takes time. Do not claim familiarity with a sector’s metrics that you have only read about.
