Hiring results with context
Talent acquisition leaders read a recruiter’s letter for evidence of hires made, in what roles and at what level. State the type and volume of roles you filled, the period, and any measure your team tracked, such as time to fill or offer acceptance, only if you can support it. Context matters: ten senior engineering hires and two hundred volume hires are different skills.

Sourcing beyond job boards
Hiring managers value recruiters who can find people who are not applying. Describe how you sourced: search strings, referrals, communities, events or outreach sequences, and how you personalised messages. One example of filling a hard role through a channel others had not tried shows initiative and craft.

Partnership with hiring managers
A strong recruiter advises rather than takes orders. Show how you ran intake meetings, challenged unrealistic requirements with market evidence, calibrated on early candidates and kept the process moving. A sentence about changing a hiring manager’s view, with what evidence, tells the reader you will be a trusted partner.

Candidate experience and fairness
Readers look for care with candidates: clear communication, timely feedback, structured interviews and consistent evaluation. If you helped introduce interview scorecards, reduced drop-off or improved how rejected candidates were informed, say so. Mention fair and inclusive hiring practice concretely rather than as a slogan.

Process and tools
Finally, match the posting’s operating context: agency or in-house, the applicant tracking system you used, reporting you produced, and whether you ran full-cycle recruitment including offers. Keep data claims accurate and respect candidate confidentiality in every example. If you have hired in a specific region or market, say so, because local knowledge of notice periods, salary expectations and where candidates look for work is a real advantage. Mention any employer branding or recruitment marketing work only if you led it, and describe what you produced and how it was used. Agency recruiters moving in-house should explain how they will handle a narrower but deeper relationship with each hiring team.
Fill-in template
Replace every highlighted part. Sending bracketed text is the most common template mistake.

Weak and strong sentences
Sentence patterns, not quotes from real letters. The strong version names something specific you can show.
Weak I am a people person who loves connecting talent with opportunity.

Regional notes
India. Many employers take applications through their careers site or by email. If you apply by email, the email body can be a short version of this letter: the role, two lines of evidence and a thank-you, with your resume attached as a PDF unless the posting asks for another format. Leave out personal details such as date of birth or marital status unless the employer asks for them.
United Kingdom. The documents are usually called a CV and a covering letter. Keep the letter to one page and match it to the person specification if the employer publishes one. National Careers Service: covering letters (checked 5 October 2026).
Canada. Address the letter to a named person when the posting gives one, keep it to one page, and follow up politely if the posting allows it. Job Bank: apply for jobs (checked 5 October 2026).
United States. Keep the letter to one page. Leave out a photo and personal details such as age or marital status; they are not needed to judge your work.
Always follow the employer’s own instructions on format, length and where to put the letter.
