The Risk & Operations team has national responsibility for several key functions across the Australian practice, including travel, real estate, the monthly national newsletter, insurances, the intranet, subscriptions, oversight of corporate policies and procedures, and ad hoc operational projects.

We are looking for a Corporate Operations Assistant (internal title will be Operations Assistant) with 3 years of relevant experience in office coordination, team assistance, business support, corporate operations or project coordination who is ready to step into a broader, more challenging operations role.

This position, within the Core Operations function, forms an integral part of the team, supporting operational delivery across the Australian business and contributing to the continued growth and operational effectiveness of the practice.

What You'll Do

Reporting to the Manager, Operations, the role will provide national operational coordination support across the business, including the following responsibilities:

Subscription Administration

  • Administer user access across subscription platforms and maintain the subscription database.
  • Conduct periodic user-access reviews to identify changes supporting effective subscription management.
  • Obtain supplier quotations, assess procurement and renewal options, and coordinate internal approvals and renewals.
  • Reconcile subscription invoices and investigate payment, billing and service discrepancies with suppliers and internal stakeholders.
  • Maintain subscription contracts, supplier correspondence, approval records and renewal documentation.

Real Estate

  • Assist with large national real estate projects, including office fit-outs, renovations, upgrades and equipment replacement. Work autonomously on smaller projects and maintenance issue resolution.
  • Liaise with internal stakeholders as well as external parties such as third-party suppliers.
  • Assist with project budgets and process invoices.

Communications and Information Management

  • Coordinate the preparation, approval and publication of the monthly (internal) national newsletter.
  • Prepare SharePoint news posts and other internal communications.
  • Keep team and functional content current on SharePoint and the intranet, publish and update pages, and maintain operational records and supporting documentation.
  • Monitor the shared Operations mailbox and coordinate the allocation and follow-up of requests.

Travel Coordination

  • Assist with coordination of ad-hoc domestic and international travel requirements, including individual and large-group bookings and itinerary changes.
  • Maintain the Australian travel intranet, ensuring travel guidance, provider information and supporting resources remain current and accessible.
  • Liaise with staff and travel providers, respond to travel policy and insurance enquiries, and resolve booking and service issues.
  • Assist with the review and reconciliation of travel data and reporting operational reports.

Reporting & presentations

  • Assist with preparation of regular office utilisation, access-card, ESG and other operational reporting.
  • Prepare ad hoc analysis, dashboards, reports and presentations for operational and management purposes.

How You'll Grow

Working within a small team, this role provides the opportunity to operate across a broad range of activities in a national setting, with exposure to staff at all levels within an established, proactive and collaborative Risk & Operations function. The role will build experience in real estate projects, travel management, project coordination, information management and software tools.
