Job Description

The Global Meetings & Events Manager, Meeting Planning, leads assigned complex, high-visibility programs from intake through post-event closeout. Reporting to the Associate Director, Meeting Planning, on the Global Meetings Management team (GMM), the Manager is the primary planning partner for sponsors and accountable for program strategy, attendee experience, budget, compliance, and execution. The Manager directs the Senior Associate’s assigned operational workstreams, providing clear priorities, guidance, and review while keeping the Associate Director informed of material risks and resource needs. The role requires sound judgment and the ability to manage concurrent programs as priorities change.

Key Responsibilities

Meeting Strategy and Program Leadership

• Lead the end-to-end strategy, planning, execution, and closeout of assigned complex, high-visibility programs, including high-touch executive programs.

• Translate sponsor objectives into actionable program plans, milestones, agendas, production requirements, run-of-show documents, attendee communications, registration and travel requirements, and coordinated workstreams.

• Set program ownership, priorities, decision points, and contingency plans; manage concurrent programs as business needs and timelines change.

• Define program objectives and practical success measures with stakeholders; assess outcomes and recommend improvements.

Stakeholder and Executive Partnership

• Serve as the primary planning partner for assigned sponsors, senior leaders, administrative partners, and key stakeholders.

• Advise on meeting approach, attendee experience, timing, cost, GMM standards, and compliance requirements; present recommendations and decisions.

• Lead planning meetings and status reviews, communicate decisions and progress, and raise risks early with proposed solutions.

• Coordinate with Corporate Affairs, Executive Teams, Commercial, IT, Global Security, Legal, Procurement, Finance, Facilities, and other internal partners to align technical requirements, security protocols, approvals, and execution plans.

• Anticipate executive attendees needs.

Attendee Experience and Onsite Execution

• Oversee the attendee journey, including invitations, communications, registration, travel and accommodations, hospitality, accessibility, and onsite service standards.

• Lead onsite operations across registration, attendee services, production, transportation, food and beverage, and supplier delivery.

• Make timely operational decisions, resolve escalated issues, and activate contingency plans to protect the attendee experience and program objectives.

• Collect stakeholder and attendee feedback and lead post-event debriefs to identify lessons learned.

Budget, Risk, and Compliance

• Develop and manage program budgets and forecasts; monitor commitments, actuals, variances, and financial risks, and communicate changes requiring stakeholder decisions or approval.

• Ensure programs follow GMM policies, approval processes, and applicable legal, privacy, and compliance requirements; maintain audit-ready documentation.

• Identify and mitigate operational, financial, attendee, safety, and reputational risks; escalate issues through established channels.

• Review supplier scopes, contract terms, deliverables, invoices, concessions, deposits, and cancellation and attrition exposure. Review invoices against contracts and approved budgets, resolve discrepancies, and own program-level approval coordination, payment tracking, and reconciliation. The Senior Associate may complete initial completeness checks and assemble supporting documentation for Manager review.

Registration and Event Technology

• Own registration strategy and governance for assigned programs, including data requirements, attendee communications, reporting, and user experience.

• Partner with the Senior Associate to set requirements and review registration sites, attendee-facing event apps, technology workflows, integrations, and reporting. Approve program content and functionality, and coordinate testing, troubleshooting, and onsite technical support.

• Maintain accurate program records in Cvent, the system of record for meeting data, budgets, approvals, and documentation.

• Evaluate Amgen-approved event technology, AI tools, and automation to streamline planning, reduce manual work, and improve reporting and attendee experience while following privacy, security, and compliance requirements.

Venue, Supplier, and Contract Coordination

• Partner with the Venue Strategy Manager on venue requirements, sourcing criteria, site selection, and stakeholder recommendations.

• Set supplier responsibilities, service expectations, deliverables, and timelines; retain accountability for program-level supplier performance and service decisions. Delegate routine deliverable tracking and follow-up to the Senior Associate as appropriate, and address service gaps.

• Work with GMM, Procurement and authorized signatories on contract review and execution; track obligations and critical deadlines.

Team Leadership and Continuous Improvement

• Direct and prioritize the Senior Associate’s assigned operational workstreams; provide guidance, coaching, quality review, and timely decisions.

• Maintain regular communication with the Senior Associate and Associate Director on program status, workload, risks, milestones, and resource needs; coordinate coverage across GMM as required.

• Use post-event reporting, stakeholder feedback, and supplier debriefs to improve service quality, consistency, efficiency, and cost effectiveness.

• Promote standard processes, templates, effective collaboration, and practical technology improvements across the assigned portfolio.

Required Qualifications

• Bachelor’s degree in hospitality, business, communications, event management, or a related field; equivalent experience considered.

• 5+ years of corporate or agency meeting or event planning experience delivering complex, high-visibility programs in a corporate environment.

• Experience managing budgets, forecasts, supplier scopes, invoice review, payment coordination, and post-event reconciliation.

• Proficiency in Cvent and Microsoft Office, with experience using registration and project management tools.

• Strong cross-functional collaboration, stakeholder management, communication, organization, judgment, discretion, and problem-solving skills; experience providing day-to-day direction, coaching, or oversight to planning colleagues.

• Able to manage competing priorities and lead onsite execution in a fast-paced environment.

• Approximately 30% travel for onsite event support, with occasional evening or weekend work based on program schedules.

Preferred Qualifications

• Experience in life sciences or another regulated industry; familiarity with virtual and hybrid meeting platforms and attendee-facing event apps.
